From Paper to Digital: A Complete Guide for the Board

The transition doesn't have to be difficult

Many boards postpone digitization because they're afraid older residents won't keep up, or that it'll be too much work. In reality, the transition takes less than a week.

Step 1: Choose the right timing

  • Don't do it in the middle of vacation season
  • Give 1-2 weeks notice
  • Inform at the general assembly or via email

Step 2: Set up the system (5 minutes)

With Booking Map:

  1. Register your housing co-op (name, address, contact)
  2. Add your resources (e.g., "Washing Machine 1", "Washing Machine 2")
  3. Define available time slots (e.g., 07:00-10:00, 10:00-13:00, etc.)
  4. Invite residents via email or share a link

Step 3: Communicate to residents

Send a simple message:

"Hi everyone! Starting [date], we're using Booking Map to book [laundry/guest room/etc]. Log in here: [link]. Need help? Contact [contact person]."

Step 4: Parallel running (optional)

For cautious boards:

  • Run paper AND digital side by side for 1-2 weeks
  • Let residents choose during the transition period
  • Remove the paper solution when 80%+ use digital

Step 5: Help those who need it

  • Create a simple PDF guide with screenshots
  • Offer 15 min help at a fixed time (e.g., "Digital help Tuesday at 6 PM")
  • Ask younger residents to help older neighbors

Common objections (and answers)

Objection — Answer

"Elderly won't manage" — The app is simpler than online banking — and they manage that!

"It costs too much" — Cheaper than one conflict between neighbors

"Paper works fine" — Does it really? What about double bookings?

"We're too few" — Even 10 apartments benefit from clear rules

Tips for success

  1. Appoint a "digital responsible" on the board
  2. Celebrate the first digital booking
  3. Collect feedback after 1 month
  4. Expand to more resources when people are comfortable
